The Solomon R. Guggenheim Foundation: Associate Manager, Academic Programs

SUMMARY OF POSITION
Working independently, under the guidance of the Assistant Director, Academic Engagement, the Associate Manager, Academic Programs will take an active role in supporting the day-to-day directives of their supervisors. The Associate Manager of Academic Programs will support the administrative elements of the department’s initiatives as well as manages the intake of submitted materials, budgets, invoices, and calendars. By actively working to advance the Guggenheim’s collaborations with faculty and college and university students, this position promotes and supports the development of the Diversity, Equity, Access, and Inclusion plan.

SKILL AND EXPERIENCE REQUIREMENTS

  • Minimum of 3-5 years of experience working with students in a cultural institution, school environment or community-based organization required.
  • Excellent organizational and time management skills.
  • Excellent verbal and written communications skills, with strong attention to detail.
  • Flexibility and the ability to adapt to changing priorities.
  • Excellent attention to detail with ability to handle multiple projects in a fast-paced environment a must.
  • Ability to be proactive, use independent judgment and initiative.
  • Ability to interact with a wide variety of people within and outside the museum.
  • Professionally represent the institution and its programs across a wide range of circumstances.
  • Excellent computer skills with knowledge of Microsoft Office Suite

KEY RESPONSIBILITIES
Duties may include, but are not limited to, the following:

  • Act as primary point of contact for Legal on contract templates
  • Budget management for programs – work with Assistant Director of Academic Engagement to establish and maintain area budget, process invoices, and payments
  • Coordinate all bookings
  • Maintain program calendar
  • Onboard and orient new program participants
  • Coordinate specialized offerings for universities
  • Maintain department email account
  • Recruit and select qualified participants for departmental programs
  • In consultation with Assistant Director of Academic Engagement, coordinate with all internal staff to assess needs of internship and fellowship programs
  • Design and build recruitment materials, such as forms, advertisements, etc.
  • Maintain and upload image files in museum database
  • Regularly update and maintain web presence.

WORK DEMANDS & ENVIRONMENT:

  • Ability to travel within the metropolitan area as required to perform the above duties at any of the Guggenheim’s owned or leased properties upon request.
  • Occasionally work may be conducted outdoors, exposure to varied weather conditions.
  • Ability to work nights, weekends, holidays on occasion.
  • Ability to lift at least 25 lbs.

EDUCATION:

  • Bachelor’s degree required. Strong interest in art preferred.
  • Master’s Degree in a related field is a plus

WORK SCHEDULE: 40 Hours per Week, Schedule TBD

POSITION TYPE:  Full-time, Non-Exempt,
