The J. Paul Getty Trust: School Programs Coordinator
The Education Department of the J. Paul Getty Museum seeks a School Programs Coordinator to coordinate the daily operations of the single-visit (field trip) school program at the Getty Center and, on occasion, at the Getty Villa. The field trip program is a fast-paced environment, with over 700 students participating daily. A significant portion of the workday will be outdoors welcoming students, teachers, and chaperones, quickly and efficiently organizing them, and providing information and guidance to assist them in their visit.
Reporting to the Manager of School Programs, the coordinator will be responsible for scheduling and deploying docents and ensuring adequate staff coverage for assigned guided tours, and developing and documenting scheduling procedures in conjunction with docent program staff. Other duties will include providing administrative support to the school and docent programs, as well as compiling statistics and creating reports for various aspects of docent and staff deployment, as requested.
Major Job Responsibilities
- Coordinates daily school arrivals: communicates with schools, teachers and chaperones; manages and coordinates school group docents; greets and organizes school groups on site, troubleshoots day-to-day operations.
- Provides general customer service and logistics assistance to teachers, chaperones, and students.
- Prepares daily school arrivals schedule and communicates with multiple departments across the Museum to ensure the smooth operation of single-visit school operations.
- Approves bus funding requests using guidelines, monitors commitments, and files invoices for the Title 1 bus fund.
- Monitors and orders supplies for single-visit school program and school group docent program.
- Participates in a variety of school program and docent program projects, providing administrative and program support as needed.
- Consistently follows appropriate departmental policies in making scheduling decisions.
- Reviews existing policies, guidelines and protocols and changes or develops as needed.
- Serves as resource and support to other departmental staff.
- Maintains and updates information on scheduling and other databases and systems.
- Develops strong relationships and coordinates with internal and external clients and peer groups through excellent communication.
- Works to solve a variety of issues and makes decisions based on knowledge of the department’s operational policies and procedures.
- Updates and maintains records in job related databases.
- High school diploma/GED; Bachelor’s degree preferred
- Minimum 3-4 years related experience
