Description

The Richard Avedon Foundation, a non-profit artist’s foundation, is seeking an archive/office administrative assistant. The Foundation maintains an extensive collection of Avedon photographs, protects Richard Avedon’s negatives and papers, and administers his copyrights worldwide. The predominant responsibilities will include (but not be limited to) archive support, registration and exhibition assistance, clerical, and other administrative needs of a small office.
ARCHIVE
– Organization of the archive
– Overseeing the rehousing and scanning of un-archived material
– Locating material and research for various Foundation projects and publications
– Archiving of Avedon studio documents, letters, video and film, and moving them to long-term climate-controlled storage
– Making archive acquisitions – Organizing digital archive material
OPERATIONS
– Assist with facilities management (elevator, HVAC, fire alarm, security system, track lights, and trash pick-up)
– Order office supplies, manage office utilities
– Oversee general housekeeping and upkeep of office and gallery
– Perform other duties as assigned
– Prepare weekly packet for bookkeeper
EXHIBITION/REGISTRATION SUPPORT
– Assist with on-site installation at galleries and museums
– Assist with preparation of venue-specific loan agreements and ongoing confirmation of the Foundation’s insurance, facilities, climate, and shipping requirements as exhibitions travel
– Conduct condition reports of works coming in and out of the Foundation
QUALIFICATIONS
– A BA or higher in a relevant field; preferably from an art, art history, photography, archive management or library sciences setting
– Excellent planning and organizational skills and the ability to multitask
– Knowledge and practical experience regarding basic computer skills, including word-processing, spreadsheets, as well as photo editing and scanning software
– Ability to work independently and make decisions in accordance with established policies and regulations
– Understanding of current technologies applicable to archives and proficiency in FileMaker and ArtBase is a plus
– Must maintain confidentiality at all times
