Kimbell Art Museum: Special Events Assistant


Working alongside the special events supervisors, coordinate Kimbell Art Museum special events, to include membership, auxiliary, and rental events.


  • Assist with preparation of rental and catering agreements, and special event plans.
  • Assist with preparation of special event purchase orders and submit invoices to accounting department.
  • Prepare event memos and layouts, and schedule meetings with selected department heads on a regular basis to discuss specific event logistics.
  • Secondary lead for special event meetings with staff, renters, and vendors.
  • Provide in-bound telephone and email support for department, to include special event calls, and general membership inquiries related to special event benefits.
  • Lead the set-up and breakdown activities for selected Museum special events, and all Museum special event rentals.
  • Secondary lead position for event ticketing and RSVPs.
  • Submit and update vendor procurement requests and materials to include delivery and pick-up schedules.
  • Assist with preparation of event summary reports and finalize information after event.
  • Assist with in-house Museum special event calendars.
  • Maintain all files and required documentation for the special events department.
  • Additional tasks as assigned by supervisors.



  • Effective communicator with strong leadership skills.
  • Ability to work under pressure and within time restraints.
  • Experience working with the public, and with wide range of constituents.
  • Extremely detail-oriented.
  • MS Office proficiency required.
  • Experience with Tessitura donor software a plus.
  • Prior special event experience preferred.
  • Evening and weekend hours required.
  • Valid driver’s license.
  • Applicants must be able to pass a pre-employment criminal background and drug screening.
