Job Summary

Plans, coordinates and supervises a wide variety and heavy volume of events, meetings and performances sponsored by Getty institutes, departments and external organizations. Manages or assists in all stages of event planning, preparation and execution. Assists with the development of the event concept, budget, promotional materials and production/project and logistics schedules. Negotiates with external vendors.

Major Job Responsibilities

  • Applies knowledge of event coordination to assignments of moderate complexity
  • Coordinates internal services for events including room setup, parking allocation, coordination of security and custodial needs, audio visual equipment and services and catering and food/beverage services
  • Drafts contracts with outside vendors and contractors
  • Assists in developing event concepts, budgets, promotional materials and production/project and logistic schedules
  • May assist in development of event policies and procedures
  • May coordinate VIP visits and activities for a department or program

Qualifications

  • Bachelor’s degree in the humanities or hotel, restaurant and resort management preferred
  • 2-3 years experience in event services or management

Knowledge, Skills and Abilities

  • Ability to perform standard work requiring application of standard techniques and procedures
  • Applies knowledge of policies, practices, trends and information to assignments of moderate complexity
  • May provide technical support and subject matter expertise through project management responsibilities
  • Ability to assist in developing and executing project plan and budget
