Development Assistant

Dia Art Foundation seeks a Development Assistant based in its office in New York City. This is a newly created, full-time, entry-level role providing administrative and operations support across various aspects of the development department. Reporting to the Director of Development/Foundation and Government Relations and under the general oversight of the Deputy Director of Advancement, this position will assist functions including research, event preparation, data entry, grant management, and annual appeals. The ideal candidate will have strong writing skills and an interest in learning all aspects of an active development department.

Dia is committed to advancing, realizing, and preserving the vision of artists. A nonprofit founded in 1974, Dia collects the work of some of the most renowned artists of the last half-century, presents long-term, site-specific projects, executes new commissions, and produces scholarly publications related to its exhibitions and collection.

Responsibilities include:

  • Coordinate Dia’s Annual Fund appeal program, including drafting biannual public solicitations
  • Research foundation and government funding opportunities
  • Assist with preparation of interim and final reports, letters of interest, and other materials for grant funders
  • Prepare other written communication related to solicitation, proposals, and donor acknowledgements as needed
  • Provide support for annual fundraisers, membership events, and other special events including tracking RSVPs and assisting with event preparations. Occasional assistance with offsite events as needed
  • Manage department calendar and prepare meeting agendas and meeting notes as needed
  • Following a training period, provide support for a variety of gift processing and data entry functions in Altru, a Blackbaud fundraising database, including prospect coding, reports and queries, mailing lists, and other constituent tracking
  • Coordinate department mailings including book mailings, holiday cards, membership, and donor appeals
  • Assist Deputy Director of Advancement with travel and meeting schedules, and tracking and reconciling monthly expense reports


  • Bachelor’s degree or equivalent education required
  • Prior work or internship experience, preferably in a development or fundraising environment, is required
  • Must have strong administrative support skills and be organized and detail oriented
  • Accurate data entry skills; experience with Altru or a similar database is preferred
  • Proficient in Microsoft Office Suite
  • Excellent verbal and written communication skills
  • Strong research skills and ability to consolidate information in a logical and functional format
  • A self-starter capable of managing multiple tasks and projects in a fast-paced office
  • Demonstrates excellent interpersonal skills and exercises good judgment, tact, confidentiality, and diplomacy in all interactions
  • Works well in a team setting with a positive, helpful attitude
  • Able to travel between Dia’s New York City and Beacon offices on occasion; transportation costs covered by Dia
