Description

The site of a renowned legacy of musical performance as well as a unique purpose-built concert hall, the Isabella Stewart Gardner Museum is seeking an Artistic Administrator support overall success of the Gardner’s performing arts activities. The successful candidate will coordinate and execute a variety of administrative, operational, and programmatic activities related to performances in the hall as well as the historic galleries of the original building. Working closely with curatorial and program staff in Music, Education, Collections, Contemporary, Marketing, and Development departments to implement ticketed and non-ticketed performance events, this is an exciting position in a stimulating and independent work environment.

Must be able to work weekends (primarily Sundays) and some evenings and occasional Saturdays

Responsibilities

  • Provides general administrative support to the Curator of Music, and as directed by the Curator of Music, administration support to the VCPA.  
  • Schedule, attend, and manage the operations of performance events including Sunday Concert Series, Thursday evening music series, and other special performances at the Gardner; manage production and development of content of printed programs 
  • Work with the Performance Operations Manager in project management of special programs and visiting curators and their performances
  • Act as primary liaison with a wide range of global artists and writers, publishers and composers to drive performance production (e.g., contracts, concert arrangements, and operational requirements, etc.)
  • Schedule performance hall and green room use for rehearsals and performances; hire and manage all concert support staff (e.g., page turners, recording engineers, and piano tuning, etc.)
  • Interact with concert audiences, including welcoming, conflict resolution, and assistance with special needs, in collaboration with Box Office personnel
  • Analyze sales, track profit/loss margins, and work with Marketing on ads or press relations to facilitate the visibility of programs
  • Collaborate with Box Office for ticketing details, including providing concert details and artist complimentary ticket requests
  • Work with Membership, Development and Marketing departments on concert-related services for their constituents, including seasonal brochure, ticket sale schedule, donor recognition, and events; includes overseeing the execution of Tapestry Room concerts, scheduling and managing aspects of the exhibition openings and Night at the Museum events, annual Gala, and other high profile events for members and donors
Requirements
  • Bachelor’s degree with at least two years of administration or management experience
  • Detail-oriented with high level of organizational skills
  • Demonstrated interest or background in classical music and/or performing arts
  • Excellent writing and proofreading skills
  • Excellent customer service skills; prior experience working with performers a plus
  • Ability to work under pressure and interact gracefully with varied constituencies
  • Track record of successful collaboration and teamwork
  • Innovative problem-solver and successful project manager
  • Must be able to easily be active for extended periods of time, and lift up to 30 lbs
