Ballroom Marfa: Gallery Assistant

Position Description

The gallery assistant is a part-time hourly role that includes weekends and the occasional evening. As a part of a small team, this position requires a positive attitude, excellent organizational and communication skills. This position involves intown driving to off-site storage and installations; the gallery assistant must have reliable means of transportation.

The gallery assistant ensures visitors and guests have a positive experience while assuring the safety and smooth operations of the exhibition on view. In collaboration with the exhibitions and gallery coordinator, this position helps maintain all aspects of the visitor experience including the retail space and merchandise sales (both on-site and online). Core duties include greeting attendees and guiding them through the current installation, maintaining COVID safety protocols, logging attendance numbers and updating membership records, retail space upkeep and merchandise sales, answering phones and relaying messages promptly to staff, processing and shipping out online orders and keeping the front desk, gallery, courtyard and back office orderly. Additionally, the gallery assistant works closely with staff to aid in office management, to support programs, to care for facilities, and to assist with administrative tasks as needed.

Responsibilities

  • Stewards the gallery during open hours Wednesday – Saturday 10 am-6 pm, Sunday 10 am-3 pm, schedule may vary according to precautions relating to the pandemic
  • Opens and closes the gallery (Includes turning on and off exhibition media, lights, etc.; as well as opening and closing stone circle)
  • Greets visitors and interfaces with the public; Answers questions about Ballroom, the exhibition on view, and Marfa; Keeps visitor’s guide up to date
  • Enters visitor contact information from front desk log into Ballroom’s database, Tracks visitor attendance
  • Provides ongoing gallery oversight of artworks on view; Reports incidents if they occur
  • Ensures bathrooms, gallery, back office and retail space are clean, orderly and stocked
  • Collaborates with curator and exhibitions coordinator on gallery signage and label copy
  • Replenishes and maintains printed materials available to the public
  • Manages orders/sales of merchandise & memberships; Includes email correspondence with customers, packaging, and mailing online merchandise orders in a timely manner
  • Maintains retail and general office supply inventories
  • Organizes travel, lodging, per dimes, and visitor information for artists, openings, and special events
  • Aids curator in coordinating gallery tours for arts and educational groups
  • Fields and directs incoming phone calls; Takes and relays messages to staff
  • Maintains retail and general office supply inventories
  • Assists with gallery openings, programming and events as required
  • Aids in office and facilities management; Assists with administrative tasks as needed
